How to read this index HONEST METHODOLOGY
These rankings reflect which brands large language models most consistently name when asked for the "best [category] software" — a practical proxy for AI-answer visibility, or how often an AI assistant is likely to surface a brand from its training and retrieval when a buyer asks for a recommendation.
This is not a paid, live, multi-model audit, and we do not publish precise percentages we cannot verify. Order reflects observed mindshare — how densely a brand appears across the review sites, comparison articles, and roundups that models learned from — not a claim of product quality. Where a brand's standing is directional rather than dominant, we simply say it is "commonly named." Every brand listed genuinely dominates its category's mindshare; we did not invent names or stats to fill a list.
Why it matters: AI assistants increasingly sit between buyers and their first shortlist. If your brand is not in the AI's default answer, you are invisible at the exact moment a purchase decision starts — regardless of how good your product is.
The Index
Who AI names, category by category
Category 01 · Compliance / GRC
"best SOC 2 compliance automation software"
- 1VantaDefault answer
- 2DrataCo-cited leader
- 3Secureframe
- 4Sprinto
- 5Hyperproof
- 6AuditBoard
- 7OneTrust
- 8Thoropass
Vanta and Drata own the AI answer for SOC 2 automation almost by default — both are category-defining, saturate G2 and review sites, and generated years of comparison and "how to get SOC 2" content that models trained heavily on, with Vanta usually named first as the market creator. A capable but lesser-known player like Sprinto, Scrut, or Thoropass rarely surfaces unless the buyer names it, because the training corpus is dominated by Vanta-vs-Drata framing.
Category 02 · Sales & CRM
"best CRM software"
- 1SalesforceDefault answer
- 2HubSpotDefault answer
- 3Zoho CRM
- 4Pipedrive
- 5Microsoft Dynamics 365
- 6monday CRM
- 7Freshsales (Freshworks)
- 8Zendesk Sell
Salesforce and HubSpot own the AI answer for CRM: category-defining incumbents with enormous documentation, deep review-site coverage (G2, Capterra), and a decade-plus of content marketing that models trained heavily on — so they get named first almost every time. A lesser-known CRM has to fight that default, since AI reaches for the familiar names before surfacing niche or newer tools unless the buyer specifies a narrow use case.
Category 03 · Work Management
"best project management software"
- 1AsanaDefault answer
- 2monday.comDefault answer
- 3ClickUp
- 4Trello
- 5Jira
- 6Notion
- 7Wrike
- 8Smartsheet
Asana and monday.com own the AI answer here because they appear in nearly every "best PM software" listicle, review-site roundup, and comparison article the models trained on — so they get co-cited by default, with ClickUp, Trello, and Jira close behind. A lesser-known brand faces an entrenched, repeatedly co-cited top tier and is unlikely to surface without heavy third-party review presence and head-to-head content that models can retrieve.
Category 04 · Marketing
"best email marketing software"
- 1MailchimpDefault answer
- 2HubSpot
- 3KlaviyoEcommerce pick
- 4Constant Contact
- 5ActiveCampaign
- 6Brevo
- 7ConvertKit (Kit)
- 8MailerLite
Mailchimp owns the default AI answer here: the category-defining brand with by far the largest footprint of reviews, tutorials, and "best email marketing tools" roundups models trained on — so it is named first almost every time, with Klaviyo the reflexive pick the moment "ecommerce" enters the query and HubSpot when "all-in-one / CRM" does. A capable but lesser-known platform like MailerLite, Brevo, or Omnisend rarely surfaces unqualified, because AI mindshare tracks citation volume, not product quality.
Category 05 · Customer Support
"best help desk software"
- 1ZendeskDefault answer
- 2FreshdeskRunner-up
- 3IntercomRunner-up
- 4Zoho Desk
- 5Help Scout
- 6HubSpot Service Hub
- 7Salesforce Service Cloud
- 8Gorgias
Zendesk owns the AI answer as the default category synonym for "help desk software" — the most heavily cited, review-saturated, content-linked brand, so models name it first almost reflexively, with Freshdesk and Intercom as reliable runners-up. A newer or vertical AI-native desk faces a steep climb: without the dense web of comparison articles and citations the incumbents have, models rarely surface it unless the buyer names a specific constraint like Shopify support (Gorgias) or lightweight small-team use (Help Scout).
Category 06 · HR & Payroll
"best HR and payroll software"
- 1GustoDefault answer
- 2ADPDefault answer
- 3RipplingRising
- 4Paychex
- 5Workday
- 6BambooHR
- 7DeelGlobal payroll
- 8Paycom
ADP and Gusto tend to own the AI answer here: ADP because decades of market dominance make it the near-universal citation in payroll content, and Gusto because it is the default "best for small business" pick in almost every comparison listicle. Modern all-in-one entrants like Rippling and global-payroll specialist Deel are commonly named too and rising fast in recent content, but a lesser-known brand faces an uphill climb because these established names are so densely cited that models rarely surface challengers unqualified.
Category 07 · Finance
"best accounting software for small business"
- 1QuickBooks Online (Intuit)Default answer
- 2XeroIntl. runner-up
- 3FreshBooks
- 4Wave
- 5Zoho Books
- 6Sage Business Cloud Accounting
- 7Oracle NetSuite
Intuit QuickBooks overwhelmingly owns the AI answer for U.S. small-business accounting — the default first recommendation, saturating review-site roundups, accountant referrals, and comparison content models train and retrieve on, with Xero as the consistent international runner-up. A lesser-known brand hits a near-impossible mindshare wall: models only surface alternatives when the query specifies a niche (Wave for "free," FreshBooks for "freelancers / invoicing," Zoho for "Zoho ecosystem"), so unlisted tools go unnamed unless they win a specific qualifier rather than the generic "best" query.
Category 08 · Security
"best password manager for teams"
- 11PasswordDefault answer
- 2BitwardenValue pick
- 3Dashlane
- 4Keeper
- 5NordPass
- 6LastPass
- 7Zoho Vault
1Password owns the AI answer for team and business password management — consistently named first as the business-first leader with deep admin controls (SCIM provisioning, granular vault sharing) and heavily cited across security roundups, with Bitwarden the near-universal runner-up as the open-source value pick. A lesser-known or self-hosted brand (Passbolt, Psono, even Zoho Vault) rarely surfaces unless the buyer explicitly asks for open-source or self-hosted, because models default to the names that dominate published "best of" comparisons.
Category 09 · Web
"best website builder"
- 1WixDefault answer
- 2SquarespaceDefault answer
- 3WordPress
- 4Shopify
- 5Webflow
- 6GoDaddy
- 7Hostinger
- 8Weebly
Wix and Squarespace own the AI answer for this category: the most heavily reviewed, most-linked builders across the "best website builder" listicles models trained on, so nearly every assistant names them first and pairs them with WordPress and Shopify. A lesser-known builder — even a genuinely good one — rarely surfaces because AI collapses to this same canonical shortlist regardless of the buyer's specifics. Visibility here comes from being widely cited and category-defining, not from feature superiority.
Category 10 · AI Tools
"best AI writing assistant software"
- 1JasperDefault answer
- 2GrammarlyBrand recall
- 3ChatGPT (OpenAI)General-purpose
- 4Copy.ai
- 5Writesonic
- 6Rytr
- 7SudowriteFiction niche
- 8QuillBot
Jasper owns the "best AI writing assistant" answer for marketing and business content — it effectively defined the category and is saturated across the review roundups (G2, Zapier, TechRadar) models retrieve, while Grammarly wins on sheer brand recognition and ChatGPT is the default general-purpose pick. A lesser-known tool faces a steep wall: models overwhelmingly default to these few well-documented, review-heavy names, so an unranked brand is rarely surfaced unless it dominates a specific niche (e.g., Sudowrite for fiction).
